About the Role: Wells Fargo is seeking an Executive Specialist on the Corporate and Investment Banking team. Corporate and Investment Banking (CIB) Front Office support group is a cross-functional group of teams that provide support for CIB and the broader Wells Fargo organization. The department consists of Markets, Banking, Commercial Real Estate, Chief Admin Office, Client Lifecycle, Business Execution and Data Management verticals. In this role, you will:
Participate in complex administrative duties to one or more members of more experienced management and contribute to the overall effectiveness of team
Identify opportunities for improving or implementing processes and tools within executive business management functional group
Assist with compilation of research, budget, and statistical data for financial planning initiative
Establish and implement office procedures and controls, handle most sensitive customer issues and confidential correspondence
Present recommendations for resolving more complex situations and exercise some independent judgment while developing understanding of the function, policies, procedures, and compliance requirements
Collaborate and consult with peers, colleagues and managers to resolve issues and achieve goals
Interact with shareholders, regulatory agents, media, and internal and external customers
Key Responsibilities:
Administrative Support to senior executives
Detailed calendar and inbox management; effective scheduling of meetings and activities as required; coordinating and supporting meeting setup and execution
Detailed domestic and international travel bookings and logistics for senior executives across multiple time zones
Partner with executive’s business manager to ensure the executive is fully briefed and prepared for meetings etc.
Regular interactions, planning and execution of events for high priority external parties (predominantly clients), including complex and high-volume intercontinental and regional travel coordination
Planning and execution of high priority and external client events
Perform proxy role for various systems and internal approvals (ex. delegates for expense approvals, certifications/notary)
Provide administrative assistance on projects, committee/Board meeting preparation, etc.
Coordinate senior leader schedules, travel, etc.
Manage, create, and distribute reports and meeting documents as required; take and distribute meeting minutes if needed
Establish and implement controls to handle sensitive customer issues & confidential correspondence
Expense management: prepare and submit expense reports
Lead the team on implementation of new/revised processes requiring coordination with various teams, incl. consultation and collaboration with peers, colleagues and managers
Partner with support teams for any technology, facilities, or support needs that arise for the business (ex. physical badge access, pre-clearance submissions, etc.)
Collaborate and consult with peers, colleagues, and managers to resolve issues and achieve goals
Represent the office with competence and professionalism
Operate with the highest standards of confidentiality, discretion, and diplomacy
Use initiative to rapidly resolve general issues and queries in an efficient manner
Partner with the business for employee onboarding/offboarding processes
Support recruiting events (including coordination with external senior bankers)
Required Qualifications:
- 2+ years of Executive Administration experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education
Desired Qualifications:
2+ years of Executive Administration experience supporting at C-Suite level
Experience providing support to C-Suite/ board level executives
Excellent verbal and written communication skills with the ability to think logically and consider alternatives to provide practical solutions based on a broad understanding of relevant factors
Ability to manage changing travel itineraries, accurately manage expense reimbursement, planning events, manage a busy calendar and appointments flawlessly
Ability to work effectively with key team members and partners across various time zones and locations
Dynamic, highly motivated, target oriented and professionally committed at all times
Excellent organizational skills with the ability to multitask and use initiative
Ability to make timely and independent judgment decisions while working in a fast-paced and results-driven environment
Proven track record for consistently meeting and exceeding goals and delivering a superior level of job performance
Extensive experience to an advanced level of using all Microsoft Office applications e.g. PowerPoint for detailed presentations, Outlook for managing multiple diaries, Excel and Word
Experience working in a detailed multinational organization
Experience working in a financial services organization is essential
Ability to assess issues, make quick decisions, implement solutions, and influence change
Ability to take initiative and work independently with minimal supervision in a structured environment
Ability to develop partnerships and collaborate with other business and functional areas
Strong attention to detail and accuracy skills
Resilient, proactive, and hands-on with a can-do attitude
Meticulous approach with a high attention to detail

Reflected is the base pay range offered for this position. Pay may vary depending on factors including but not limited to achievements, skills, experience, or work location. The range listed is just one component of the compensation package offered to candidates.
$50.00 - $80.77
