A leading financial services firm is looking for a sharp, resourceful, and highly organized Executive Assistant to join a fast-paced, collaborative team. In this role, you’ll be a trusted partner to senior leaders, playing a key role in keeping their days running smoothly and their priorities on track. From orchestrating complex calendars and high-stakes meetings to planning seamless multi-leg travel and supporting critical initiatives, you’ll be at the center of the action, helping drive efficiency, focus, and results across the organization.
Responsibilities
- Coordinate demanding schedules for senior executives, balancing shifting priorities, urgent requests, and recurring obligations. Anticipate scheduling conflicts and proactively resolve them while accounting for time zone differences and global stakeholders.
- Organize and confirm meetings, calls, and video conferences involving multiple participants and locations. Prepare agendas, distribute materials in advance, and track follow-ups to ensure all logistics are executed flawlessly.
- Design efficient, detailed travel plans that align with business objectives, including flights, accommodations, transportation, visas, and dining. Monitor for changes or disruptions and adjust plans in real time to minimize travel stress and maximize productivity.
- Assist with the execution of high-priority projects by gathering information, tracking timelines, and coordinating between stakeholders. Provide administrative support for presentations, research, and document preparation as needed.
- Act as the face and voice of the executive(s), managing communication flow, responding on their behalf when appropriate, and building trusted relationships with colleagues, clients, and partners.
- Develop a strong understanding of internal processes, team structures, and individual working styles to ensure smooth transitions and consistent support when covering for team members or executives during absences.
- Partner with the broader EA team to uphold best practices, share information, and contribute to a high-functioning support ecosystem. Provide feedback and suggest improvements to enhance efficiency, communication, and executive satisfaction.
Ideal Experience
- A bachelor’s degree is preferred.
- A detail-oriented professional with outstanding organizational and communication skills.
- At least six years of administrative or executive support experience in fast-paced, high-expectation environments.
- Discreet and trustworthy when handling confidential information.
- Proactive and resourceful, with the ability to work independently as well as part of a team.
- Proficient in Microsoft Office (especially Outlook) and able to quickly learn tools such as Slack, Confluence, and SharePoint.
