Job Title: Engineering Early Careers Program Associate
Location: Midtown, Onsite, Monday–Friday
Employment Type: Long-Term Contract (Open-Ended)
About the Role
We are seeking a highly organized and proactive Engineering Early Careers Program Associate to support the planning, execution, and continuous improvement of our Engineering onboarding and professional development programs. This role is essential in delivering a best-in-class experience for early-career engineers and will serve as the operational lead on event planning, communications, logistics, and stakeholder engagement for two flagship programs.
This is a high-exposure, fast-paced opportunity that blends event planning, program coordination, stakeholder communication, and creativity. You'll work closely with a small core team, including your direct manager and a strategic partner, while also collaborating with global teams in London and professionals across Recruiting, Learning & Development, and Engineering.
Key Responsibilities
Program Operations & Coordination
- Manage logistics and execution of onboarding and development programs for both new grads and experienced engineers
- Maintain and manage rosters, mentor pairings, engagement trackers, and shared documentation
- Oversee administrative tools such as shared inboxes, calendars, distribution lists, and SharePoint
Event Planning & Execution
- Plan and execute 30+ professional networking and community events per year, including leadership roundtables, alumni celebrations, and offsite gatherings
- Manage all event details end-to-end: venue scouting and booking, catering and menu coordination, vendor management, day-of logistics, and attendee communication
- Coordinate flagship onboarding and offsite programs, including materials prep, swag distribution, and participant communications
Communications & Stakeholder Engagement
- Collaborate with the Program Manager to develop welcome emails, stakeholder collateral (newsletters, mentor decks, etc.), and event communications using Splash
- Maintain and update internal resources such as intranet pages and branding documents
Swag & Creative Strategy
- Lead swag ideation and execution—from concept to vendor coordination—across onboarding, seasonal, and alumni programs
- Ensure all materials and branded items are consistent, well-organized, and aligned with internal identity guidelines
Required Qualifications
- Bachelor’s degree required; Psychology or related field preferred
- 2+ years of relevant experience in event coordination, L&D, campus recruiting, or related administrative support
- Strong proficiency in Microsoft Excel and PowerPoint
- Experience managing multiple events/projects simultaneously in a professional environment
- Outstanding verbal and written communication skills
- High attention to detail and a proactive, solutions-oriented mindset
- Ability to work independently, ask questions, and seek ways to improve processes
- Professional demeanor with the confidence to engage with senior leaders and global teams
- Creative thinker with strong organizational skills
