Who we are looking for:

The People Operations Associate (Compliance) at VML's New York office supports the People Operations team with compliance-related tasks, including background checks, employment verifications, employee file management, compliance training tracking, I-9 audits, and unemployment claims. A People Operations Associate plays a crucial role in supporting the employee lifecycle and ensuring a positive employee experience. They are often the first point of contact for employees and help with a wide range of HR-related tasks. The ideal candidate is highly organized, detail-oriented, and possesses strong ethics and Excel skills, along with 2-3 years of relevant experience and familiarity with ADP, E-Verify, and Workday. What you'll do:

The People Operations Associate will support People Operations Compliance in areas such as:

  • Assist with internal and external VML employment verification requests.
  • Conduct background checks while managing the start-to-end process which includes:
    • Initiating and monitoring background checks to completion
    • Reviewing and sharing the results with the Capability People Team
    • Facilitating invoice PO approvals with Finance Team and processing invoices
    • Administrator for our background check provider system
    • Record keeping management
  • Support with the management of employee personnel and confidential files.
  • Enroll employees in mandatory compliance training, track, audit and report on completion status to the Capability People Teams.
  • Perform monthly I-9 audits and assist with the I-9 reverification process which include:
    • Collaborating with our Immigration Team
    • Reviewing and verifying I-9 documentation
    • Updating Workday system and I-9 documents
  • Assist in reviewing and completing all VML unemployment claims.
  • Handling and supporting additional projects as needed.

Who you are:

  • Organized and detail oriented
  • Ability to effectively manage multiple tasks, meet deadlines, analyze data, and complete projects and assignments
  • Great can-do attitude combined with a strong work ethic; able to go with the flow
  • Strong ethics and integrity including the ability to maintain high degree of confidentiality
  • Strong skills in Excel, PowerPoint and Word

What you'll need:

  • 2 - 3 years of experience
  • Experience with ADP, E-Verify, Workday
  • Experience with a fast-paced work environment
