We are seeking an experienced Executive Administrative Assistant to support our Senior Vice President of Sales and their direct reports at our Midtown Manhattan office. Youll be a key partner in ensuring our leadership team and office operations run efficiently while also providing back-up reception support as needed. This is a fully on-site role offering dynamic responsibilities in a fast-paced environment.
Key Responsibilities:
Executive Support:
Provide high-level administrative support for the Sales SVP, direct reports, and occasionally the broader sales team
Manage complex calendars, prioritize and coordinate meetings involving executive leadership, clients, and key stakeholders; handle all related correspondence and logistics
Screen and prioritize urgent calls; maintain strict confidentiality when handling sensitive information
Organize events, staff and client meetings, including project management, budget oversight, space/IT coordination, and logistical support
Prepare and proofread PowerPoint presentations, Excel reports, and Word documents; draft and distribute memos, letters, and meeting minutes
Coordinate complex domestic and international travel itineraries, meetings, and manage expense reports
Prepare and file expense reports; collect receipts for SVP and direct reports
Maintain and update organization charts and time/attendance records; approve bi-weekly timesheets and exceptions
Serve as procurement lead for sales team supplies and equipment; manage tracking and eligibility
Coordinate resources and logistics for client visits to NYC and liaise with Edgewood staff as needed
Support additional administrative projects and priorities as assigned
Reception Back-Up (Occasional):
Welcome, direct, and announce visitors at the front desk
Answer, screen, and forward office calls; provide accurate info in-person and via phone/email
Liaise with facilities and IT for conference room and office support
Maintain office security and control access; manage logbooks and issue visitor badges
Qualifications:
3-10 years of experience supporting senior executives in a comparable Executive Assistant role
Advanced skills in PowerPoint, Excel, Word, and Outlook
Bachelors degree strongly preferred
Exceptional written and verbal communication skills; outstanding grammar and proofreading
Proven ability to work effectively with diverse personalities and all management levels
Highly organized, detail-oriented, adaptable, and able to manage short deadlines and competing priorities
Trusted to handle sensitive information with discretion and professionalism
Salary range $35.00- $40.00 Hourly USD. Bonus Eligible.
