Position Summary:
The Mail Services Associate is responsible for the receipt, processing, and distribution of all incoming and outgoing mail and packages. This role requires attention to detail, a strong customer service orientation, and the ability to work efficiently in a fast-paced office environment. The associate will also provide support for office supply deliveries and assist with related office services functions as needed.
Key Responsibilities:
Mail Handling & Distribution:
Receive, review, document, and process all incoming mail and packages.
Sort and categorize items for delivery or pickup based on established procedures.
Deliver, pick up, and transport materials between departments or office locations.
Pick up outbound shipments from internal departments and prepare them for courier processing.
Inspect all incoming items for suspicious or hazardous contents and report accordingly.
Shipping & Courier Support:
Process outbound shipments using shipping software and courier systems (e.g., UPS, FedEx).
Package and label materials properly for shipment.
Track, log, and maintain accurate records of mailroom activity.
Supply & Facilities Support:
Deliver office supplies and copy paper to designated areas.
Handle work order service requests and enter them into the appropriate format or system.
Follow safety procedures and guidelines in all tasks.
Use carts or material handling equipment to move deliveries.
Team Support & Flexibility:
Cross-train on other departmental roles to provide coverage as needed.
Support additional duties and special requests as directed by management .
Qualifications:
High school diploma or equivalent (GED) required.
2–5 years of mailroom or office services experience preferred.
1–3 years of experience using Microsoft Office (Word, Excel, Outlook).
Excellent verbal and written communication skills.
Strong customer service skills with a positive, proactive attitude.
Ability to work both independently and as part of a team.
