Executive Assistant – Investment Firm
Location: Midtown
Work Model: Onsite 5 days
Hours: 8:00 AM – 5:00 PM
Compensation: $100,000 – $120,000 base + bonus + full benefits + 401(k)
Experience: 5–7 years, Financial Services experience required

Position Summary
We are seeking a highly professional, polished, and proactive Executive Assistant to support senior-level professionals in our NYC office. This is a unique opportunity to be part of a firm from day one, help shape the culture, and grow alongside our business. You will be a true right hand—handling everything from complex calendar management and international travel to occasional personal tasks and last-minute requests with ease.
The ideal candidate is a team player with a positive, can-do attitude who thrives in a fast-paced, entrepreneurial environment. No job is too big or too small.
Key Responsibilities
- Coordinate and manage complex internal and external meetings and conference calls using Outlook
- Prioritize calendars, keep professionals on schedule, and manage frequent meeting changes
- Coordinate all aspects of domestic and international travel, including real-time itinerary updates
- Create and submit detailed expense reports using Concur or similar system
- Prepare correspondence and meeting materials; assist with print/copy/binding needs
- Manage incoming calls, messages, and visitors with professionalism and discretion
- Support ad-hoc personal requests (e.g., scheduling personal appointments, errands)
- Collaborate with other EAs across teams, providing back-up support and cross-coverage
- Maintain confidentiality and discretion in handling sensitive information
- Take on special projects and other duties as needed
Qualifications
- 5–7 years of EA experience, preferably in financial services or a high-demand corporate environment
- Bachelor’s degree strongly preferred
- Mastery of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Experience with Concur and/or international travel scheduling is highly desirable
- Excellent written and verbal communication skills
- Ability to juggle multiple priorities and adapt to shifting demands
- Resourceful, responsive, and meticulous attention to detail
- Comfortable in a lean team setting and willing to "pitch in" wherever needed
- Strong sense of discretion, professionalism, and emotional intelligence
