Forrest Solutions is seeking a poised, professional, and highly polished Receptionist to support the C-Level executive suite of a prestigious financial services client. This is a highly visible, client-facing role that requires exceptional interpersonal skills, unwavering discretion, and a commitment to five-star service. The ideal candidate thrives in a fast-paced corporate environment and understands the nuances of executive-level hospitality and communication.
Key Responsibilities:
- Serve as the first point of contact for high-level executives, board members, clients, and VIP guests
- Greet all visitors with warmth, professionalism, and efficiency, creating an immediate sense of welcome and trust
- Manage executive calendars and coordinate meeting logistics, including room scheduling and guest preparation
- Answer and direct incoming calls with discretion and accuracy; take detailed messages when necessary
- Maintain an immaculate reception area and ensure the C-Level suite is always guest-ready
- Handle confidential information with the utmost discretion
- Coordinate catering and hospitality needs for executive meetings and events
- Support administrative tasks such as document preparation, visitor logs, and supply inventory management
- Liaise with internal departments including security, facilities, and office services to ensure smooth daily operations
Qualifications:
- 3+ years of experience in a corporate receptionist or front desk role, preferably in a financial or professional services environment
- Experience supporting senior executives or working within a C-Level suite strongly preferred
- Polished and professional appearance and demeanor
- Exceptional verbal and written communication skills
- High level of discretion, confidentiality, and emotional intelligence
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Strong organizational skills and attention to detail
- Ability to multitask, remain composed under pressure, and prioritize effectively
