Job Description
The Personnel Representative/Onboarding Specialist, under the direct supervision of the Assistant Personnel Director, supports the Human Resources (HR) efforts at NYC Health + Hospitals/Elmhurst with an emphasis on Employment and Background. The Personnel Representative participates in the implementation of personnel administration and employee relations programs, and is responsible for ensuring that all employees and nonemployees are on-boarded in a timely manner. Additionally, this position supports all hospital surveys and audits.
General Tasks And Responsibilities Will Include
- Responsible for accurate and timely onboarding of new employees, including Residents.
- Coordinates new employee orientation sessions, both locally and system-wide, as appropriate.
- Work with Office of Legal Affairs to process Visa’s, including but not limited to, H1-B & J-1.
- Process all paperwork and act as a liaison as needed with Dean’s Office and Regulatory bodies.
- Process temporary staffing and conversion requests with Right-Sourcing by serving as a liaison.
- Oversees the promotion and transfer process by validating minimum qualifications are met.
- Responsible for tracking expiring employee licensure by running monthly reports and updating PeopleSoft HRIS with current information.
- Utilizes PeopleSoft to enter data, security clearances, and identifies and reconciles salary discrepancies, and maintains system of record integrity.
- Collaborates with colleagues in other functional areas of Human Resources to maintain continuity of services to all employees. Maintains metrics on various employment data, including approved vacancies, time to hire and time to fill.
- Participates in hospital-wide surveys and audits.
- Provides coverage/relief of front desk staff and fields all general HR inquiries to appropriate individuals.
- Performs all other related duties as assigned by the HR management team.
- Associate’s Degree from an accredited college or university in Human Resources Management, Public Relations, Healthcare Administration, or a related discipline; or
- High School Diploma or its educational equivalent and two (2) years of relevant experience in human resources, administration, labor relations, employee relations, learning and development, talent acquisition, customer service (providing information and resolving customer concerns), or a related administrative support function.
- PHR or SHRM-CP preferred
- Bachelor’s Degree in a relevant filed from an accredited college or university
