Our client is a growing asset management firm looking to add a full-time in-person Administrative Assistant to their team. Salary/Hourly Rate
$75k - $80k
Position Overview
The ideal Administrative Assistant will be able to manage a wide range of responsibilities and make decisions independently. This candidate will be supporting a team and should be able to prioritize and multitask effectively. In addition, the candidate must demonstrate good judgement, be extremely detail-oriented, organized, and a true team player.
Responsibilities Of The Administrative Assistant
- Extensive calendar coordination including setting up meetings via Zoom or Microsoft Teams.
- Track charges on corporate credit card and create expense reports.
- Assist with travel coordination for partners, including air travel and car services.
- Liaise with building for any service requests; coordinate any external vendor visits for repairs.
- Manage and stock office supplies.
- Screen main office phone line and transfer calls or assist with taking messages.
- Set up conference rooms for meetings.
- Order catering for in-office meetings.
- Maintain and stock all areas of the kitchen.
- Track partner locations and remain attentive and available throughout the day for any ad hoc requests; remain available for occasional after-hours requests as needed.
- Help with planning company holiday parties, happy hours, and employee engagement events.
- 2 - 4+ years of administrative experience in a professional service setting, preferably within financial services.
- Proficient in Microsoft Office Suite - Outlook, Excel, Word, and PowerPoint.
- Proactive, independent, problem-solving attitude.
- Ability to stay calm under pressure.
- Ability to maintain confidentiality and professionalism.
- Bachelor's degree is required.
